Choosing a real estate CRM in Australia: a buyer's guide

What actually separates the platforms Australian agencies shortlist — scope, state-specific paperwork, who owns your data, and the questions that expose a bad fit before you sign rather than eight months in.

Most CRM comparisons are feature grids where every vendor has a tick in every box. They're useless, because by the time a product is on your shortlist it does all the obvious things. What separates platforms is narrower, less advertised, and much harder to reverse once you've migrated.

Here's what to actually look at.

1. Decide what you're buying before you compare

The single biggest fork: do you need property management and trust accounting in the same platform as sales?

If yes, your shortlist is a suite. Rex, MRI Vault and Reapit Sales all publish property management alongside sales, and a suite is genuinely the right shape for that problem. Splitting sales and PM across two vendors to save money on licences is a false economy when the reconciliation lands on your principal.

If no — if you're a sales team and PM is either absent or already handled — then a suite is surface area you'll configure around forever. Every settings screen covers cases you don't have.

Neither answer is smarter. But answering it second, after you've fallen for a demo, is how agencies end up on platforms that don't fit.

2. Ask how the state paperwork is handled

This is where national and international platforms get thin, and it's specific enough that it's worth being blunt about.

In Queensland, the Form 6 appointment has to be signed before you can lawfully provide services, and it carries the appointment term and commission the whole way to settlement. It is not the contract of sale — that's a separate document with a separate set of dates.

Ask any vendor:

  • Is the appointment its own record, with the term and commission as structured fields?
  • Is the appointment end date visible during a campaign, or only on the document?
  • Is the contract of sale tracked separately from the appointment?

If the answer is "you can upload the PDF to the listing," that's a filing system, not tracking. It'll work fine right up until an appointment lapses mid-campaign. We wrote about where that breaks in practice.

3. Find out who actually answers when it breaks

Several of the platforms Australian agencies shortlist have been consolidated into larger groups in recent years — VaultRE is now MRI Vault under MRI Software, Agentbox is now Reapit Sales under Reapit. Scale brings real advantages: stability, integration ecosystems, formal support processes, a vendor that will still exist in ten years.

It also changes what happens when you need something changed. Ask directly:

  • Who takes a feature request, and what happens to it?
  • What's the actual response time, and is that a commitment or an aspiration?
  • Is the person demoing this to me the person who'd fix it?

There's no correct answer. A twelve-office group and a four-person team want opposite things here. But you should know which one you're buying.

4. Pin down data ownership and exit before you sign

The questions worth asking in writing, before money changes hands:

  • Who owns the data? It should be you, unambiguously.
  • How do I get it out? In what format, how quickly, at what cost?
  • What happens to it after we leave? Deletion timelines, in writing.
  • Where is it stored, and who are the sub-processors? A vendor who can't name their sub-processors hasn't thought about this properly.

Migration cost is the reason agencies stay on software they've outgrown. The time to negotiate your exit is while you still have leverage, which is now.

5. Work out what "custom" means to them

Every vendor says they'll configure the platform to your team. The word covers at least three very different things:

  • Settings. Renaming pipeline stages and toggling fields. Every platform does this; it isn't custom.
  • Configuration. Structural changes to how the product behaves for you — real, but bounded by what the product can already express.
  • Bespoke build. New functionality written for you. Genuinely powerful, and the place where budgets and timelines go wrong.

The question that separates them: is what I'm being shown running today, or is it a roadmap? Buying a demo of something that doesn't exist yet is the most expensive mistake available in this category, and it's usually made by the agencies with the most specific requirements — the ones most likely to be told yes.

6. Run your own week through it

Feature lists don't tell you whether software fits. Take one real week — a genuine Saturday of opens, an actual enquiry backlog, a live listing with a vendor update due — and make each vendor run it in front of you.

Watch for:

  • how many screens a routine task takes
  • what happens to a portal enquiry from realestate.com.au or Domain between arriving and being actioned
  • whether the mobile experience is the product or a viewer
  • what a new agent has to learn before they're useful

An agency that does this eliminates most of a shortlist in an afternoon.
